I am committed to protecting your privacy and handling your personal information responsibly and in accordance with UK data protection legislation.
Who I Am
Julia Rooney is an accredited member of the British Association for Counselling and Psychotherapy (BACP) and provides counselling and psychotherapy services in private practice.
How Your Information Is Stored
Paper records are stored securely and access is restricted to me as the therapist.
Client contact details are stored separately from therapy notes.
Electronic information is stored securely and protected by appropriate passwords and security measures.
Confidentiality
Information shared within therapy is confidential. However, confidentiality may be broken where there is a legal obligation to do so, or where there are serious concerns regarding the safety of yourself or others.
Professional supervision forms part of my professional practice. Client anonymity is protected within supervision.
Your Rights
You have the right to:
Request access to your personal information
Request correction of inaccurate information
Request restriction of processing in certain circumstances
Object to processing in certain circumstances
Make a complaint regarding the handling of your personal data
How Long Records Are Kept
Brief and factual therapy notes are retained for seven years following the end of therapy. After this period records will be securely destroyed.
What Information I Collect
I may collect and process the following information:
- Name and contact details
- Date of birth
- Emergency contact details
- GP details (where appropriate)
- Information provided during therapy sessions
- Appointment and payment records
- Correspondence by email, telephone or text message
Why I Collect Your Information
Your information is collected in order to:
Provide counselling and psychotherapy services
Arrange and manage appointments
Maintain clinical records
Comply with professional, legal and ethical obligations
Manage payments and administration
Data Protection Complaints
If you have concerns about how your personal information has been handled, please contact me in writing in the first instance. I will investigate your concerns and respond as soon as reasonably possible. If you remain dissatisfied, you may contact the Information Commissioner's Office (ICO).
Complaints
Julia Rooney Counselling
I am committed to providing a professional, ethical and respectful counselling service. If you are unhappy with any aspect of the service you receive, I encourage you to discuss your concerns with me as soon as possible.
Informal Resolution
Many concerns can be resolved through open and honest discussion. If you have a concern about any aspect of our work together, I encourage you to raise it directly with me in the first instance.
Formal Complaints
If you feel unable to resolve the matter informally, you may make a formal complaint in writing by email.
Please include:
· Your name and contact details
· A clear description of your concerns
· Any relevant dates or information
Complaint Handling
Upon receipt of a formal complaint, I will:
· Acknowledge your complaint within 14 days
· Review the concerns raised fairly and objectively
· Provide a written response as soon as reasonably possible, normally within 30 days
Professional Standards
As an accredited member of the British Association for Counselling and Psychotherapy (BACP), I work in accordance with the BACP Ethical Framework for the Counselling Professions.
